Personal Data We Collect and Why We Collect It

Overview

Information and content you provide. We collect the content, communications, and other information you provide when you use our Products and Services, including when you sign up for an account, create or share content, and message or communicate with others in any way through our Site, Incodit.com, and any social media account operated by Incodit LLC, including, but not limited to: linkedin.com/company/incoditllc, twitter.com/incoditllc.

This can include information in or about the content you provide (like metadata), such as the location of a photo or the date a file was created. Our systems automatically process content and communications you and others provide to analyze context and what’s in them for the purposes described below. Data with Special Protections

You can choose to provide information in your profile fields or activity statuses about your religious views, political views, who you are “interested in,” or your health. This and other information that may identify you with membership of a protected class or classes, could be subject to special protections under the laws of your country.

Networks and Connections

We collect information about the Pages, Accounts, Hashtags, People, and Groups that you are connected to and your interactions with them across our Products and Services, such as the Groups to which you belong or the media on which you provide comments. We also collect contact information if you choose to upload, synchronize, or import from devices, e.g., address books, call logs, or SMS log history, which we use for the purpose of assisting you in connecting with people you may know (only when you explicitly grant permission to do so) as well as for the other purposes listed below.

Your Usage

We collect information about how you use our Products and Services, such as the types of content you view or engage with, the features you use, the actions you take, the people or accounts you interact with, and the time, frequency, and duration of your activities. For example, we log when you’re using and have last used our Products, and what posts, videos, and other content you view on our Products. We also collect information about how you use features like our camera.

Information from Transactions Made on our Products and Services

If you purchase Products or Services or make a donation, we collect information about the purchase or transaction. This includes payment information, such as your credit or debit card number and other card information; other account and authentication information; and billing, shipping, and contact details.

Things others do and information they provide about you. We also receive and analyze content, communications, and information that other people provide when they use our Products. This can include information about you, such as when others share or comment on a photo of you, send a message to you, or upload, sync, or import your contact information.

Device Information

As described below, we collect information from and about the computers, phones, connected TVs, and other web-connected devices you use that integrate with our Products and Services, and we combine this information across different devices you use. The primary purpose for which we use this information is to provide you with website layouts customized to the device you are using, e.g. modifying the menu or sidebars for mobile views, providing swiping functionality for tablets or other touchscreens, etc. The specific mobile device, operating system version, or browser you use on a device may require different coding to provide you with the same functionality (Apple vs. Android, Samsung Note vs. Google Pixel, Google Chrome vs. Microsoft Edge). To the extent where it makes sense and is not overtly intrusive, ads may also be personalized to show products for users who primarily use mobile devices versus those who predominantly use desktops, like beauty apps versus website-based, online stock-trading applications.

Below are examples of the information we collect from devices; however, since technology changes daily, it is not an exhaustive list, and additional or alternative data may be required to accomplish the purposes stated:

  • Operating System, Hardware and Software Versions, Browser, App and File Names and Types, and Extensions or Add-Ons.
  • Information about operations and behaviors performed on the device to help differentiate between Humans and Bots.
  • Unique identifiers, device IDs, and other identifiers, such as from games, apps, or accounts you use that are associated with the same device or account, help provide account security, e.g., Two-Factor Authentication or tracking logins on multiple devices, which may identify hacking activity.
  • Bluetooth signals, and information about nearby Wi-Fi access points, beacons, and cell towers.
    Information you allow us to receive through device settings you turn on, such as access to your GPS location, camera, authorized app data, or media (photos, files, or videos).
  • Network information such as language, time zone, mobile phone number, IP address, connection speed (for delivering static background images instead of background videos for slow connections), and, in some cases, information about other devices that are nearby or on your network, so we can do things like help you stream a video from your phone to your TV.
  • Cookie data stored on your device, including cookie IDs and settings.

Comments

When visitors leave comments on the site, we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me,” your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after one (1) day.

Embedded Content from Other Websites

Articles on this site may include embedded content (e.g., videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Analytics

This Site uses Google Analytics, which uses cookies. At the aggregate level, cookies store information on how visitors use the Site, including the number of pages displayed, where the visitor comes from, and the number of visits, to improve the website and ensure a good user experience. With Whom We Share Your Data

Subscription Management

We use Hubspot to manage all subscriptions to our mailing lists and to manage the creation and sending of emails to subscribers of those lists. Hubspot uses a session cookie to track users through the Sign-Up process when they submit information via our Subscription Sign-Up form. Hubspot’s Privacy Policy .

How Long We Retain Your Data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users who register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Your Data Rights

In an effort to comply with EU regulations, if you are an EU citizen – and because it’s the right thing to do even if you live elsewhere in the world – if you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How We Protect Your Data

Incodit LLC is committed to protecting the personal information you entrust to us, so we utilize robust and appropriate technologies and policies to help ensure that the information we have about you is protected from unauthorized access and improper use. Where applicable, your online registration is encrypted, and our own network is protected using industry best practices for securing the server, the website files, and the data transmitted through APIs to Third-Party providers.

Out Data Breach Procedures

Despite our best efforts and due diligence, we cannot 100% guarantee against a data breach since the technology used to deliver our services is ever-evolving, and so are the hackers’ abilities to circumvent our security measures. As soon as we are aware of any potential unlikely and unfortunate event of a data breach, we will send a notification to you through the email you have provided us to provide as much information as we have about what information may have been exposed. Please ensure that we always have your most current email address on file and check it regularly to ensure that you receive important notifications from us.

We would then work with developers and security experts to how best to rectify the data breach and prevent its recurrence, as well as promptly notify the appropriate legal authorities in our jurisdiction about the breach and comply with law enforcement authorities to help track down and prosecute the perpetrators.

Since our website is provided internationally, we may not have the ability to reasonably report the incident to the authorities in your country, nor to fully comply with your country’s laws, if they conflict with those of the United States, with which we are governed. We will endeavor to comply with all countries’ governing authorities’ requirements whenever practicable. If you suspect that our policies are not in alignment with your country’s law requirements, please do not continue to use our website.

Data Received from Third-Parties

Generally, we do not receive personal, or personally identifiable, information about you from Third Parties; however, your name and/or contact information associated with a business with which you are, or have been, employed or connected may be stored in CRM and directory databases, to the extent permitted by law for legitimate business interests and you have the right to request that your personal information be deleted from our database.

We may, in the future, provide profile data import services, for ease of transferring the data from your other accounts into your account on Incodit.com; however, this service would require your explicit consent in advance of such an import.

Third parties with whom we have had no prior contact may provide us with information about you and we will determine, on a case-by-case basis, the legitimacy of retaining this information.

Other data that do not contain personally identifiable information and which may be aggregated may be provided by Third Parties, e.g., anonymous polls/surveys or via Third-Party analytics services, such as Google Analytics.

Automated Decision Making and/or Profiling

Examples of automated decision-making and/or profiling based on user data include:

  • A/B testing of web pages to see what generates more traffic,
  • The choices made when subscribing to our Newsletter(s), sometimes coupled with the information you have provided with consent, through your account or purchases, determine the relevant information you will receive in your mailbox,
  • Behavioral advertising, such as ads based on users’ browsing behavior on our Site,
  • Filtering of profanity, bullying behavior, unlawful media, or other communications in violation of our Terms and Conditions in comments or on our Site’s social media platform, as well as other social media platforms, managed on behalf of our Incodit LLC, such as our accounts on LinkedIn, Twitter, etc.

Our automated decision-making or profiling algorithms are never willfully enabled to negatively discriminate against any individual, based on a protected class or classes, nor to violate any personal freedoms required by law. Whenever practicable, comments or social media posts moderation will be checked or verified manually, and some posts may also be flagged/reported for review by other members in the Incodit community who believe it may be in violation of laws or our Site’s Terms and Conditions.

We appreciate our users’ understanding that we employ these automated measures to provide a positive community environment since it is often impractical to manually monitor each and every piece of data that comes through our site, nor does manual monitoring tend to respect users’ privacy, so we prefer to use it sparingly and for the good of our Site’s community, as a whole.

All users using the interactive features on our Site (social media, comments, polls, store, etc.) are required to register for an account and to provide and maintain accurate/truthful personal information for the security and peace of the Incodit community, and minimal information is required; however, additional personal information fields are optionally provided to the account holders and, if they choose to provide them, they may be used for providing relevant content.
